J.R. Calvert, Owner, Founder and CEOFor decades, staff balanced both with pen and paper. A clerk noted when a table opened, calculated the hours at checkout and added a separate bar slip before the guest left. When the 1986 film The Color of Money revived interest in upscale billiard rooms, technology followed, but only in fragments. Venues adopted one point-of-sale (POS) system for table rentals and another for food and beverage, creating inefficiencies for both businesses and guests.
It came to a head at the register. Staff crosschecked table numbers, playing time and bar orders while lines formed. Guests waited, questioned the numbers and left frustrated. Owners were frustrated by having to stitch together two sets of reports to determine whether they made a profit.
J.R. Calvert, owner, founder and CEO of Definitive Synergy , experienced this disconnect from behind the counter. While completing his engineering degrees and training as a professional pool player, he ran a room whose owner was often away. Daily operations revealed something that generic POS systems and fragmented venue software often missed. For the guest, it was one night out. Behind the counter, table rentals, kitchen orders, bar service, retail and memberships followed separate workflows that still had to come together.
“It needed one bill. It needed stuff that others aren’t doing,” he realized.
In 1993, that idea became Definitive Synergy and eventually gave rise to its flagship platform, CuetPOS.
Instead of bolting time tracking onto a retail POS, CuetPOS was built around how a billiards venue actually works. It carries table time, food and beverage, retail items, memberships and payments through one transaction. A guest can check in, play, order a meal, buy accessories and settle everything on a single bill.
“Our early systems started rolling out in 1993 and powered rooms for 20 years. In 2015, we consolidated that knowledge into CuetPOS, adding over 100 specialized capabilities,” adds Calvert.
Today, the platform spans hundreds of functions, from real-time kitchen tracking and automated membership billing to multi-rate pricing, customer messaging and legacy data migration that preserves long-standing layouts and product catalogs.
Years ahead of the market, Calvert’s was designing for the whole operation, not just POS. That systems-level thinking gives CuetPOS its defining edge.
Making the Room Run as One
CuetPOS begins at the venue’s economic engine, the table. It tracks play by the minute or hour and prorates charges automatically. Each table can follow its own rate structure across all 168 hours of the week, accounting for table type, peak periods, happy hours, memberships, leagues and tournaments without manual calculations.
A graphical floor layout gives staff a live view of activity across the room, with alerts drawing attention to rentals that require action. Table-to-Tab then lets guests move from the bar to a pool table, dartboard or another area without interrupting the transaction. Food, drinks, retail purchases and rental charges remain on one continuous tab.
Imagine it like a Transformers. It looks like a truck, but we turn around and flip a few things around and it’s a jet fighter.
Tableside tablets bring ordering and payment to guests without pulling them away from play. Kitchen display systems carry those orders to the line, while kiosks shorten the path from a guest’s request to the venue’s response.
Here, Calvert’s idea of ‘one bill’ becomes a working principle. Servers see the complete order, including modifiers, account-specific discounts and any unpaid balance. Table time enters the same transaction instead of being calculated separately, allowing one record to follow the guest through the entire visit.
At checkout, that continuity translates into speed. Staff press a button, present the total and accept payment. Integrated processing supports EMV, tap-to-pay, Apple Pay and Google Pay, while preauthorization secures open tabs and incremental preauthorization adjusts the authorized amount as guests continue ordering. The connected approach extends beyond the transaction and into customer relationships, too. Quadruple Duty Cards combine gift, loyalty/rewards, membership and employeelogin functions, while memberships accommodate multiple tiers, automated dues and rewards. Mass texting and waitlist notifications keep regulars engaged and move waiting customers to open tables sooner.
Even after the guest leaves, CuetPOS reporting brings rental activity, sales, payments, tips, and employee actions into one record. Operators can examine revenue, exceptions and playing history across time periods, while inventory controls track stock and ingredients with precision. Permissions, time clocks and wage reports complete the picture by giving managers oversight of labor and sensitive transactions.

Real integration doesn’t just automate one corner of the business and leave employees to connect the rest. From last Tuesday’s Visa totals to exact tip amounts, the goal is to let the entire venue operate and be understood as one system.
“Real integration doesn’t automate one corner of the business and leave employees to connect everything else,” says Calvert. “From last Tuesday’s Visa totals to exact tip amounts, the goal is to let the entire venue operate and be understood as one system.”
Built Around Questions from the Floor
Definitive Synergy’s approach to product development grew from a promise made to Calvert’s earliest customers. His earliest clients bought in while the platform was still taking shape. He promised to keep building it and bring every improvement to their systems at no charge.
“It became company policy that you just got free updates on the software for life,” he says.
That promise shaped the relationship and created a development loop that drives CuetPOS forward. Operators asked whether the system handled one task, then another, until a request fell outside the platform. The team clarified what the operator needed, and Ernst, lead programmer and Director of Development, helped turn those requirements into specialized features. Customers then tested the new functionality before it was released more broadly, turning one operator’s problem into a reusable capability available through ongoing updates.
Robert, Director of Technical Support, carries that same customer connection into day-to-day use, helping clients work through the platform and its expanding capabilities. Together, development and support keep Definitive Synergy close to both sides of the product experience, what operators need CuetPOS to do and how well it works once it reaches the floor.
It’s how CuetPOS broke out of pool halls and into new markets. Arcade mode ties barcode wristbands to a preauthorized card. Guests play, order food or drinks and settle everything at the exit. Bowling alleys, pickleball facilities, mini golf courses and laser tag arenas use the same core and activate the functions they need. Ticketing, concessions and game room management round out the toolset. Bars, restaurants, food trucks and retail stores run on the same foundation.
“Imagine it like a Transformers. It looks like a truck, but we turn around and flip a few things around and it’s a jet fighter,” says Calvert.
Clients buy the software once and pay no monthly fees. Upgrades, training and migration carry no charge for life.
Clients on integrated payments receive free technical support. Processing is available through a zero-percent program or at a rate that meets or beats the client’s current processing rate, without a long-term contract.
“When customers know exactly what they’re paying for and what support to expect, there are no surprises. That clarity builds the trust that drives our community forward,” adds Calvert.
Customer interactions drive product development. Each business operator’s questions lead to solutions that advance Definitive Synergy’s offerings.
When Better Operations Show Up in the Numbers
Within six months of adopting CuetPOS, a Michigan venue increased revenue by 40 percent and cut checkout from several minutes to under one. The gains confirmed what its owners had suspected: the business was performing well, but disconnected systems were holding it back.
Pool and food ran on separate systems, creating the same gaps Calvert had encountered himself years earlier. Definitive Synergy refined the venue’s workflows and brought table time, food and beverage, payments and reporting into CuetPOS. The change stopped lost pool time, reduced shrinkage and helped lift online reviews.
“Their place runs like a well oiled machine now, and they know exactly where their money is going,” says Calvert.
Beyond the Register
A smooth operation doesn’t matter if guests don’t walk through the door. Definitive Synergy extends its work to marketing through an SEO service reserved for CuetPOS clients. Calvert’s son, Jeremy, leads the IT and SEO division.
The focus is on local visibility. The team tracks how each venue appears online and which searches surface it. Requests for directions serve as a key gauge because each one signals a new customer. Direction requests for one client rose by 38 percent in a month and the client gained over 100 new customers.
SEO remains exclusive to POS clients. Businesses outside the platform receive an offer to switch to Definitive Synergy. Digital marketing becomes another way to help operators earn more from the rooms they already run.
Built for What Comes Next
The next phase of CuetPOS continues the operating philosophy that has shaped the platform since its inception.
Development is moving toward pocket-sized handhelds for taking orders and payments without returning to a terminal. The company is also exploring online ordering and pool-table kiosks where guests could order food, request service, join a membership program or redeem loyalty points without leaving the game.
Growth is widening as well. After building much of its customer base through its main office, Definitive Synergy is preparing to add resellers and expand its sales team. National Sales Manager Clark Rone, who joined the company about five years ago, brings 30 years of sales experience to that effort. Leadership for the next phase is also taking shape internally. Calvert’s daughter, Dakota, leads sales and marketing, while Jeremy continues to oversee IT and SEO. Together, they are helping carry forward the customer relationships, operating knowledge and development philosophy that Definitive Synergy has built over more than three decades.
Technology will keep changing. Screens will shrink. Ordering will become more immediate. Venues will find new ways to connect guests, games, food, payments and loyalty. The principle behind Definitive Synergy is less likely to change.
A pool hall may still run on time and tabs. Calvert’s goal is to make sure neither ever feels like a separate business again. Recognized as Billiards and Entertainment POS Platform of the Year 2026 by Travel & Hospitality Tech Outlook, Definitive Synergy continues to carry that operating philosophy forward, using CuetPOS to bring the moving parts of billiards and entertainment venues into one connected system.
