Scott Brown, Founder and PresidentThat disconnect hit home for Scott Brown, founder and president of Innspector Software, when his wife, an HR staffer at a hotel, spread inspection papers across their dining table and a spreadsheet with never-ending rows. Hours went into digitalizing handwritten notes. It was clear that, while guest-facing tech had advanced, the tools supporting staff hadn’t.
To close that gap, Brown built Innspector, a cloud-based system that gives hotel managers and inspectors a mobile-friendly, paperless and efficient way to document, score and manage cleanliness inspections.
The first version was launched at a single hotel and developed in close collaboration with the team that would use it daily. From setup to support, every feature is focused on speed, simplicity and respect for the user’s time. Hotels can complete onboarding in under 30 minutes and go live within hours.
From that initial rollout, adoption spread organically, driven by teams that saw the impact and spread the word.
“Every update we make comes from listening to the user,” says Brown. “Innspector didn’t grow through marketing budgets; it grew through trust. When housekeeping teams find something that saves time and work, they talk about it.”
A Setup So Simple, You Can Start Today
The system’s fast setup includes avoiding more work for hotel staff. During implementation, Innspector gathers all required information, such as room lists, team members, user roles and custom checklists. Once configured, staff simply log in to the app, select a room and the housekeeper who cleaned it and begin the inspection.
Each inspection uses a customizable checklist, ranging from 10 to 100 items or more. Inspection managers can start with a pre-built checklist template, then tailor it to their property’s standards. Items can be weighted based on importance. For instance, a broken smoke detector counts more than a smudge on a mirror. Managers control how inspections are scored and can easily determine where to focus follow-ups.
To expedite inspections, all checklist items are pre-filled as “pass.” Inspectors only need to tap the ones that don’t meet expectations. It’s a small design decision that reflects reality. Most rooms pass most checks and only a few details typically need attention.
When issues do arise, documentation is immediate. Inspectors can take photos, add comments and create work requests from the same screen. For newer staff, built-in item descriptions provide guidance and are available in English and Spanish.
Most inspections take just five to seven minutes. That means housekeeping supervisors spend less time on paperwork and more time on quality. And because the checklist is broken into logical sections, by room area (bathroom, bedroom, common areas) or task type (cleaning, maintenance, amenities), no one has to scroll through a massive, disorganized list.
All of this is priced to work for hotels of any size. Plans start at $50 monthly, depending on room count and subscription length. No long-term commitment is required, though many clients choose the 12-month plan. Flexible month-to-month options are also available.
Turning Every Inspection into Actionable Insight
Every action inside Innspector creates a data trail that turns inspections into insight. When an inspection is submitted, results are uploaded to the cloud and transformed into real-time reports that hotel teams can access instantly.
These reports highlight top-performing housekeepers, pinpoint where standards are slipping and track how each property performs over time. Managers can view inspection scores, average completion times, recurring issues and more, offering a clear picture of operations beyond basic pass/fail counts.
Many hotel groups treat Innspector as a partner. Year after year, groups invite us to conduct refresher training sessions and share best practices with new team members. These ongoing touchpoints help sustain adoption, improve usage and reinforce the habits that drive long-term performance
At month-ends, hotels can generate performance reports to recognize standout employees, identify coaching needs and build incentive programs around consistency and detail. Scoring formulas are customizable, so reporting aligns with each property’s internal benchmarks.
“When a housekeeper repeatedly misses the same items, supervisors can step in with targeted coaching. What was once static paperwork becomes a tool for growth and stronger team support,” says Kim Stowe, client success manager.
Innspector supports both single-property hotels and multi-property management groups. Managers can access location-specific data, while corporate teams gain a portfolio-wide view to spot trends and share best practices. Access permissions are fully configurable, ensuring frontline supervisors see what they need for day-to-day decisions, while senior leaders track performance at scale. Reports can be pulled on demand or delivered automatically daily, weekly, monthly or annually.
The platform also helps hotels meet compliance goals. Whether inspecting every room weekly, meeting monthly audit targets or preparing for brand standards checks, Innspector tracks real-time progress. A dashboard view displays which rooms have been inspected, which are overdue and overall completion rates, eliminating guesswork from compliance.

Built on Trust, Backed by Security
For hotel teams managing inspections, peace of mind shouldn’t stop with clean rooms; it should also extend to their data. Innspector is built on industry-leading Amazon Web Services (AWS) infrastructure, with best practices in place for physical security, virtual safeguards and ongoing threat protection.
All connections use HTTPS encryption to ensure inspection data, photos and reports remain private between mobile devices and Innspector’s servers, even over public Wi-Fi networks.
The application itself operates behind a virtual firewall with tightly controlled access points. The database is not publicly exposed; only the web application can access it and that communication is tightly controlled through AWS security policies and network-level access controls. This architecture adds an extra layer of protection by ensuring that data is only accessible by trusted components within the system.
User passwords are protected using Argon2, a military-grade hashing algorithm widely regarded as the gold standard for password security. Even if someone managed to breach the system (which its architecture is designed to prevent), they won’t be able to retrieve usable passwords. Not even Innspector’s team can view them; they exist only as irreversible encryptions.
Administrative access to Innspector’s servers is just as protected. All access requires multi-factor authentication; only a small, authorized technical staff can log in. Every attempt is logged and monitored for suspicious activity.
To stay ahead of emerging threats, Innspector uses AWS GuardDuty, a threat detection service powered by machine learning that analyzes network traffic patterns to flag unusual behavior and potential attacks before they cause damage. It works in the background, monitoring unauthorized access attempts and malicious activities.
Innspector also undergoes annual security audits focused on the OWASP Top 10, the most critical web application vulnerabilities identified by cybersecurity experts worldwide. In addition, the platform receives server updates every 30 days to stay protected against newly discovered threats.
From Words to Action
One hotel saw its brand guest experience index scores climb from three points below average to two points above within just a few months of implementing Innspector. This improvement can transform a property from a compliance concern into a brand success story.
More importantly, the change went beyond numbers. The team’s entire approach to their work evolved. When inspections became visible and trackable, clear improvements emerged. Managers could reinforce standards more effectively, inspectors developed greater consistency in their evaluations and housekeepers knew exactly which details mattered most. Better cleanliness was achieved not through increased pressure, but through improved clarity and understanding.
Built to Grow with You
Innspector has powered nearly 10 million room inspections, and that number grows every day. The platform is used by hotels, vacation rental operators, workforce housing companies and even third-party staffing firms managing outsourced housekeeping teams. Wherever there’s a checklist on a clipboard, there’s potential for a smarter, faster way to get it done.
That flexibility is by design. The platform can handle far more than guest room inspections. From food and beverage checks to public area evaluations, it adapts to virtually any process still running on paper. If it needs a checklist, Innspector can likely take it digital.
Despite its growing footprint, the team behind Innspector remains small and that’s intentional. The platform is intuitive enough that support requests are rare, but users speak directly with individuals familiar with the system inside and out when they arise. This lean model also maintains stable pricing; many clients who joined years ago continue to pay their original rate.
Looking ahead, the team is exploring thoughtful ways to make the platform even more powerful. From AI-driven trend analysis to wearable tech integrations and new department-level use cases, future updates will continue to reflect the same user-first mindset that has shaped the platform since day one.
Innspector isn’t chasing hype. It’s growing with the people who rely on it, one inspection, one checklist, one cleaner room at a time.
